The time is right to join HNTB Corporation! HNTB is seeking an Office Finance Manager in our Indianapolis, Indiana office.

Job Summary

Works closely with the Office Leader and office management team to achieve the office’s performance goals of contribution and cash. The Office Business Manager will proactively and consistently champion implementation of best business practices by all office staff, including client service leaders, client service team members, department managers, project managers, and project analyst group. The Office Business Manager will coordinate and manage the office operating budget and forecasting process, as well as provide analysis of monthly office performance relative to plans and budget for all functional areas. The Office Business Manager will work with the Office Management Team to initiate corrective actions as required to meet goals. The Office Business Manager is responsible for hiring and on-going development and mentoring of the Project Analyst staff. The Office Business Manager will report directly to the Office Leader and also must work closely and collaborate and will receive guidance from the District or Division Business Manager. Generally, this position will manage an annual operating budget, estimated at less than $50M in Net Revenue which could be a combination of one or more design, field or project offices.

Essential Responsibility

  • Hires, supervises, manages, trains and mentors project analyst staff. Responsible assignment of projects and tasks and for first-level review of deliverables. Responsible for all aspects of CPD process, including goal setting, coaching, and performance evaluation.

  • Coordinates completion of office annual operating budget and quarterly updates.Monitors monthly results and conducts financial analysis. Responsible for coordinating reporting of performance variances to contribution, earnings and cash. Ensures office is achieving budgeted overhead expenses. Analyzes budgeted adherence of non-labor overhead and advises office management on new strategies or initiatives to more effectively manage overhead expenses and maintain sound business practices.

  • Ensures office meets/exceeds cash management goals and adheres to cash management policies and procedures. Including proactive and timely management, follow-up, status reporting and resolution of cash collections and delinquent billings. Is the office liaison with enterprise cash organization and fosters a positive working relationship with the group in an effort to achieve collaborative results.

  • Responsible for maintaining the integrity of the financial data that result in accurate reporting and projecting of our financial results. This role serves a fiduciary responsibility to the shareholders to protect the value of the firm and to ensure that new value is created. This includes, ensuring regular and thorough proactive reporting, maintaining accurate cost accounting through proper cost control methods, adhering to revenue recognition policy, working with office leadership and project managers to provide an accurate representation of the earnings on our projects, keeping project backlog accurate and up to date, ensuring revenue projections are current and accurate, ensuring accurate reserve reviews and reporting.

  • Assists office delivery manger with office adherence to contracting & negotiations standards of performance, including reviewing contracts and make recommendations relating to compensation and payment clauses. This also includes championing and analyzing gross margin performance as early as the preliminary go-no go decision-making stage and making recommendations.

  • Provides leadership in developing and maintaining best business practices and standards of performance in all functional areas within the offices; including supporting training initiatives in these areas to the office.

  • Performs other duties as assigned.

Additional Responsibilities

  • Collect & analyze performance data as part of the strategy development process (Cash Management, Financial Performance, Overhead Management, Project Administration, etc.).

  • Assist Office Leader in developing business strategies.

  • Assist Office Leader in ensuring office adherence to the Contracting & Negotiating Standards of Performance.

  • Assist project managers in providing analytical conclusions as a result of projects that may not be meeting 4for4 objectives.

  • Assist Office Operations Manager in data collection and processing for trend analyses

  • Optimize office non-labor overhead

  • Hire, supervise, manage, train and mentor project administration staff.

  • Ensure office meets/exceeds cash management goals and adheres to cash management policies and procedures.

  • Provide leadership and consultation for larger, more complex projects.

  • Partner closely with Project Managers, Office Leader and clients to achieve 4for4 expectations, maximize earnings and cash and to meet client needs.

  • Assist in preparing prime and sub-consultant agreements, insurance and review of compensation (and payment) clauses, salary rates, and determining appropriate overhead rates.

  • Ensure effective cash management by working with clients' established upfront processes on new contracts. Establish and maintain effective relationships with clients

  • Monitor accuracy of revenue forecasting data in internal financial and sales software

  • Support Office Sales Manager in tracking Marketing Budget(s)

  • Develop office budget and quarterly forecasts in conjunction with Office Operations Manager

  • Submit required reports to Division leadership for cash and contribution forecasts

  • Coordinate month/quarter/year-end fiscal close efforts to achieve forecast

Basic Qualification

Bachelor's degree in Accounting, Finance, Business Administration or related field

5 years related experience including 2 years people management experience

9 years related experience including 2 years people management experience in lieu of education

Preferred Qualification/Skills

  • Master's degree in Accounting, Finance, Business Administration or related field

  • 7 years related experience including 4 years people management experience

  • 11 years related experience including 4 years people management experience in lieu of education

  • Experience in an Architectural, Engineering or Construction firm

  • Experience with Microsoft Outlook, Word, Excel

  • Experience with Hyperion a plus

Office Environment: Work is generally performed in an office environment in which there is only minimal exposure to potentially unpleasant working conditions. Incumbent must have the ability to stand and sit frequently, and reach horizontally as well as vertically for overhead use.
