We are currently seeking candidates for a Division Sales & Marketing Systems Coordinator in Southern California. This role is critical in the sales and operations of the business for the West Division, developing reports that are used to make business decisions that result in ongoing double digit annual growth. This person could sit in our Santa Ana, Los Angeles, Oakland, CA or Bellevue, WA office.
Responsible for performing marketing and sales administrative support for the division sales and marketing organization. Provides support to the division in monitoring information entered into the sales and marketing systems. Works independently collecting necessary data for analysis. Reviews data query reporting for accuracy.
Prepares division marketing reporting using CRM when applicable. Prepares win-loss data, monthly marketing reports, and ad hoc sales analysis requests.
Processes and reviews monthly division, district and/or office (local and national) marketing and Firm Wide Support Services (FWSS) budgets. Work with Division Business Officer to secure accurate marketing templates to reflect local, national and FWSS office budgets as part of the annual operating budget process. Reviews and updates each quarterly budget revision. May review the Office monthly expenditures and report findings to marketing managers. Assists office leadership with annual budget templates creation.
Coordinates the division leads and fees reporting process. Responsible for review of reported feeds in comparison to division sales goals.
May review all division’s local office new pre-contract job number requests, coordinating with PMA department, project administrators and division office sales managers. Assists office leadership in setting up general local and national marketing numbers upon request.
Coordinates client service plan review meetings, mega project meetings, quarterly calls and office visits within the division as needed or requested. Assists with event coordination for division level leadership meetings. May organize and manage miscellaneous office/district/division activities such as annual conferences and division leadership meetings.
Provides ongoing training and reporting procedures within the division on the following: Report Manager, Data Query, marketing budgets and coding, and CRM PMA process. Reviews departmental expenses such as expense reports, various invoices and other expenditures.
Supports marketing department by formatting/editing forms and qualifications and/or proposal material as requested. Supports marketing department with meeting and travel logistics, as well as other administrative tasks.
Performs other duties as assigned.
May create customized CRM reports that support assessments and strategic business decision making processes.
Bachelor's degree in Marketing, Communications, Journalism, Business or related degree
3 years related experience
Excellent verbal and written communication skills.
Ability to function in a team setting and take direction from colleagues.

Excellent organizational and time-management skills with ability to multi-task.
Proficient with Microsoft office, SharePoint, Adobe and other communications-related software programs.
Can-do attitude, flexible, and ability to work in a fast-paced, deadline driven atmosphere.
Previous experience in Microsoft Dynamics or similar CRM environment.
Previous experience generating CRM reports, creating pivot tables, and supporting analyses of data.
Experience in Transportation Infrastructure

Office Environment: Work is generally performed in an office environment in which there is only minimal exposure to potentially unpleasant working conditions. Incumbent must have the ability to stand and sit frequently, and reach horizontally as well as vertically for overhead use.
