HNTB Report Production Coordinator in San Jose, California

What We're Looking For

Responsible for preparing standard reports on a weekly and monthly basis.

Primary Focus Will Include:

  • Production responsibility for various standard reports issued on weekly and monthly basis.

  • Manage report production with production cycle timing requirements

  • Manage process of obtaining content for report sections from content contributors

  • Follow up/expedite content contributors in collaborative manner in order to meet content development production deadlines

  • Review content for compliance with report narrative requirements

  • Follow up with content contributors to request revisions as needed to comply with narrative guidelines/requirements.

  • Review narrative contributions and develop “common voice” to bring consistency to narrative style

  • Setup and facilitate report review meetings with designated reviewers per production schedule timeline

  • Record modifications required based on review meetings and track completion of all identified modifications and resolution of comments

  • Incorporate graphics into reports as directed

  • Coordinate with Project Controls personnel to incorporate additional graphical elements into reports

Preferred Qualifications and Skills:

  • Strong experience working with MS Word functionality, including revision/markup function, comment posting/resolution, incorporation of graphics/charts into document, etc.

  • Ability to revise narrative content submittals into a cohesive, “one voice” report narrative.

  • Ability to work collaboratively within a large organization to coordinate report content receipt from multiple content contributors.

  • Demonstrated perseverance to follow up as needed with content owners in a collaborative manner with team-based attitude.

  • RLA, RA, PE registration or AICP, CEP certification

What You'll Need

Essential Responsibilities:

  • Prepares scopes of work, fee proposals and assists with responses to RFP’s.

  • Oversees the work of less experienced staff. Assists in directing teams for medium to large scale projects.

  • Responsible for proactively involving other project team members in development of solutions.

  • Performs quality checks to ensure client requirements are met.

  • Identifies and recommends appropriate technical procedures that should be used on a project.

  • Coordinates and interfaces with other project team members during the course of a project.

  • Interfaces with client group and community stakeholders. Responsible for significant portions of presentations and public facilitation.

  • Prepares technical plans and reports.

  • Prepares written reports on medium to large sized planning projects. Responsible for significant portions of presentations and public facilitation.

Minimum Qualifications:

  • Bachelor's degree in Planning or related field

  • 8 years related experience

  • 6 years related experience (with Master's degree in Planning or related field)
