Join our growing Chicago office as we are hiring a Documentation and Project Closeout Specialist to join our Construction Engineering team. This position identifies complex discrepancies or conflicts within documents and evaluating project records. The successful candidate will perform increasingly complex calculations, track open issues and resolutions using Excel, and draft detailed reports for project reporting to the client. They will do this with guidance from more experienced staff.

What You'll Do:

  • Assists Resident Engineer and/or Project Manager in the administration of the construction contract. Provides interpretation of contract plans and specifications and reviews contractor's shop drawings and submittals for contract compliance, as applicable.

  • Maintains as-built record drawings, project files, and records database including specifications, test results, and reports.

  • Keeps inspector's daily report of assigned work activities. Performs reviews for approval of contractor's monthly schedule submittals and pay estimates.

  • Coordinates testing and monitors services as well as quality control inspections.

  • Responsible for logging, tracking, and processing requests for information, submittals, change orders, and other project deliverables.

  • Prepares project progress reports, agendas, and minutes for meetings, conducts pre-construction meetings, and assists in preparing final project close-out documents.

  • Assists in review of inspector's daily reports for conformance with the project requirements, plans, specifications, quantities, contractor's progress, and as-constructed data.

  • Assist in the review, assembly, and processing of monthly progress payments.

  • Performs other duties as assigned.

What You'll Need:

  • Bachelor's degree in Engineering and 2 years relevant experience, or

  • Master's degree in Engineering and 1 year relevant experience, or

  • Doctorate degree in Engineering.

What You'll Bring:

  • Facilitates the collection, authorization, resolution, and stakeholder concurrence documentation for project closeouts of the client program.

  • Incorporates funding and contractual requirements for invoicing, and administrative resolutions on program projects with multiple stakeholders and project administrators.

  • Full time regular hours of on-site position located in clients office.

  • Position is not remote, and will require in-person communication and problem solving for resolving financial, contractual, and administrative issues on program projects with multiple project and client personnel.

  • Communication and organization skills are needed.

  • Will require administration of the document controls strategy, systems, and policies and procedures including but not limited to the program related documents and tracking spreadsheets within the existing database system.

  • Includes preparing and conducting regular meetings and distribution of

  • agendas, minutes, and follow up action items.

  • Supports regular audits of document control processes and procedures.

  • May assist in providing training to project personnel regarding document control and record retention policies, procedures, and project management system use.

  • Performs other duties as assigned.

What We Prefer:

  • Experience working with City of Chicago Agencies for project management and administration.

  • Experience in documentation and invoicing resolution for closing transportation and engineering projects.

  • Ability to think in a detailed and structured way.

  • Ability to be systematic and learn the industry being supported.

  • Engineer in Training (EIT) or Certified Public Accountant (CPA).
